How to register a profile at ustraveldocs before your interview

First, you need to understand that you must log in ustraveldocs for passports BEFORE your visa interview. At the interview, you need to bring a printed barcode, which the system will give you at the end of filling out all the fields. Otherwise, you will not be allowed to the interview and you will have to reschedule it. The profile in ustraveldocs itself is needed for your passports to be delivered to the drop-off point or handed over for delivery to the address you specify after the visas are pasted. It is also necessary for tracking passport status. This is a mandatory step.

Next, we will talk about registration for the Polish consulate in Warsaw and a DV visa (green card). If you are applying for another consulate, the first thing you need to do is to find out if you need to register on ustravel doc for your type of visa and consulate. But the whole process is very similar, whether you’re in Mumbai, Korea, the Czech Republic, or Dubai.

1. Go to the official website of ustraveldocs – https://www.ustraveldocs.com/, and select the location – Poland (click on the letter P, Poland).
2. It goes to the subdomain. There you may change the language to Polish/Russian (Choose a language, upper right) if it is more convenient for you.
3. Choose the visa category on ustraveldocs (for DV – immigration).
4. Then you will often see an information window with a message about the conditions for the renewal of visas or COVID. Read the information and close it.
5. Press the green “Login” button at the top right.
6. This will take you from ustraveldocs to the external website https://atlas.my.salesforce-sites.com/?language=English&country=Poland (if you also register in Poland, you can go directly to the above link). Scroll down a bit and click on “New User?” on the right.
7. Next, you will need to register. Attention! Now the account only accepts e-mails to gmail.com. If necessary, create such an e-mail. The data on the first and last name you enter as they are written in your passport, where you will receive a visa (the same data you should have in the DS-260). Your first and last names must be entered in the Latin alphabet. After filling in all the fields, the captcha, check the box next to “Privacy Policy”, and press the “Submit” button.
8. Now your personal account is created, you need to fill in your visa delivery information. Click on the top left “New Application/Schedule Appointment”.
9. Choose “Immigration Visa”, and click “Continue”.
10. Select Warsaw Embassy.
11. Choose “Interview appointed by NVC/KCC”.
12. Scroll down to the type of visa DV. Choose the option according to your status: DV1 – principal applicant (the one who won the green card), DV2 – spouse of the principal applicant, DV3 – child of the principal applicant. Scroll to the end of the page and click “Continue”.
13. Carefully read the terms in the pop-up window and click “I accept the terms”.
14. Then you must fill in all the data carefully, according to your passport. Note that all dates on this page are in American format: month/number/year. Put the date of the interview as the one appointed by KCC. The Case ID is the Case Number listed on the winnings page. Enter it in its entirety, with zeros.
15. Enter your contact information: a valid phone number and a valid gmail address. You may receive notifications on passports at these data, they must be working and correct.
16. The correspondence address is your primary address where (theoretically) you can accept mail. There is no correspondence by mail right now. It is not the delivery address for your passports, it is the address for letters to you.
17. Check all the data on the page again and click “Continue”.
18. Next, the page offers to add other applicants, but I advise you to create a separate account for each – so you will be sure that the embassy will let you in, and also there will be no problems if you ever have to make an appointment for an interview. So skip this step and click “Continue”.
19. Now you will need to add the address where your passport will arrive after the visa is passed. For Warsaw, this address is one – ul. Wiertnicza 115, Warszawa, 02-952. Select it and press “Continue”.
20. Your application is created, the most important thing is to print the barcodes. On the next page, check everything again and click “Printable version”. A PDF window will open. Print the document immediately or save it as a PDF (at the top right). Open the document, and check if everything is correct.
21. Done! Now you have a document for entering the embassy. Be sure to print it out and be ready to show it right at the entrance.

When do I register my personal account/profile at ustraveldocs?

You can register (do the first stage of registration) at any time, but you can get the barcodes only after the interview appointment, so I recommend doing it after the appointment date.

How much does it cost to deliver passports?

If you choose one of the standard offices (e.g. MBE), the delivery will be free. You can see the delivery for Poland on the website. For the current moment, it’s 56 PLN.

I can’t set up an account in Poland – another country is indicated, or old data is pulled up

This is possible if you have ever had an office on this site before. Options for solving this problem:

1. If you have a new passport and have another GMail – the easiest is to register a new account.
2. If your passport is the same or you don’t have another mail, you can use contact ustraveldocs. On the left, click on “Provide Feedback” and write a request to transfer your personal account to another country or change your personal information. The request is best formulated in English. You can also use the contact number of the call center to transfer your account if there is no reply for a long time.

I got a notice about DS-160, although I don’t have to fill it out for my visa type

Since applicants with different types of visas can register on the site, a similar message may appear. If it does not apply to your visa, simply ignore it.

A family member is not coming for an interview – do they need an account?

No, he will not need an account. Login on ustraveldocs state gov only needed for those who need their passports delivered.

Can I have my passport delivered to another country?

Unfortunately, this option is not available at the moment. There is a delivery fee for Warsaw and the whole of Poland.

Can I make changes

Yes, you can make changes to the forms on the website until 23:59 on interview day (even after the interview), it is free of charge. The process is the same for renewing visas, f1 visas, or other types on ustraveldocs.

When do I get my passports?

For Warsaw (assuming standard delivery to the pickup point), passports are often ready the next business day (check the current holidays here). You will be able to pick up your passport after 4 pm. It’s best to wait for email notifications, but sometimes notifications are delayed.

If you order delivery by Warsaw or Poland, it will take a little longer. For Warsaw it usually adds 2-3 days to the delivery time, for Poland it is longer.

Where do I get my documents?
